It was 7:40 on a Tuesday when our designer knocked on my office door, holding a half-printed pitch deck. "The Brother printer won't print," she said. "Nothing is coming out."
I'm the quality and brand compliance manager at a mid-size marketing services firm. I review every deliverable before it reaches a client — roughly 200 items a year, plus internal work. In 2024 alone, I sent back about 14% of first-round proofs for color, alignment, or paper issues. Print is kind of my whole thing. Personally, I don't take page-yield claims at face value anymore. Per FTC guidelines (ftc.gov), advertising claims have to be truthful and substantiated. Brother publishes yield numbers based on the ISO/IEC 24711 standard, which is the industry's testing method for inkjet output. I appreciate that kind of transparency, because I've seen too many specs that look amazing in a brochure and fall apart in the real world.
We also print a lot of USPS mail pieces. According to USPS (usps.com), a First-Class Mail large envelope costs $1.50 for the first ounce as of January 2025, and it should stay within the 6.125" x 11.5" to 12" x 15" range. The MFC-J995DW has been feeding our 9" x 12" mailers without a fuss — which, in my experience, is not something you can assume from a spec sheet.
The Day Our Brother Printer Wouldn't Print
Five months in, the MFC had been boring. Uneventful. Exactly what a workhorse should be.
Then a Tuesday morning happened.
Our designer hit print on a 40-page client deck. Nothing. The touchscreen said: Jam Inside.
We opened every panel. Checked the duplexer. Looked at the back rollers. No jam, no paper scraps, no obvious culprit. Power cycle. The error cleared. She hit print again — and got about ten pages before a bigger problem appeared: Printer Offline.
Here's the detail that confused us for the better part of an hour:
The printer printed a network settings page from its own touchscreen, right in front of us. The hardware worked. So why was it "offline" to every computer?
What Was Actually Wrong
Two things had gone wrong, and we didn't discover them at the same time.
First, the original jam alert. A case of bargain envelopes in our supply closet — which I'd bought to save about $40 on a mailing — had one envelope with a bent flap. It caught the feeder and wedged behind the duplex roller, just out of sight. That was the red flag, in hindsight. The $40 I saved probably cost us three or four hours of collective downtime.
Second, our IT person had rebooted the office router the night before and rotated the WiFi password. The fix had three steps:

- Delete and re-add the printer on the workstations, pointing them at the new IP.
- Install the current driver from Brother's support page and run a test page.
Done. That was it. Ninety minutes of stress condensed into a three-step checklist.
What I'd Do Differently
That morning changed how I think about printer reliability. It's not just the hardware. It's the network, the supplies, and the configuration around the hardware.
The way I see it now, the checklist looks like this:
- Give office printers a static IP. This is the no-brainer. If the address changes after a router reboot, every workstation pointing at the old one is stranded. A fixed IP removes that whole category of failure.
- Don't buy mystery supplies to save a few dollars. The bargain envelopes cost us more in downtime than we ever saved. Plus, we stick with genuine Brother ink for the same reason: consistency matters when a client's logo depends on it.
- Check the obvious things in the right order. If the printer can print from its own menu, the problem is probably the connection, not the machine. That single test would have saved us the first half hour.

Was Standardizing on Brother Worth It?
Yes. I'm not going to claim Brother printers never fail — that would be a ridiculous thing to say about any machine. But the MFC-J995DW has been a solid workhorse for us, and the INKvestment cost structure has genuinely helped our bottom line.
Efficiency is a competitive advantage. Before we standardized, a client proof took about two days from final edits to ready for review. Now it's same-day. We went from four printers to two, ink spend dropped, and training time went down because everyone is on the same device.
I should add the caveat: this worked for us because we're a 20-person office with a fairly simple network. If you're in a large building with managed print services, segmented VLANs, or a server-based queue, the solution will look different. And if you're a home user, you probably don't need a static IP at all — reconnecting to WiFi might solve everything.
But the core lesson holds. When your Brother printer won't print and it still passes its own test page, don't tear apart the hardware. Check the path between the printer and the computer. The machine is probably fine. The connection is what breaks.
